Tip #1-Hire an Operation or Compliance Manager:

Putting a designated person in charge of meeting operational guidelines and standards is an effective way to stay on top of compliance and proactively fix issues as they arise. Avoid putting additional responsibilities on an overworked staff member. Carefully lay out the job description and designate the role to someone who is detail oriented and a great problem solver. This person should not only monitor organizational compliance, but should manage (or create) a data management system that keeps great records of compliance documents and student files. If the budget is tight, try making it a part-time position that is one to three days a week. You can even hire a consultant for a month ( or two, depending on the need), who is designated to auditing, organizing and managing school compliance.

Waiting until a state audit or renewal visit is near before reviewing and correcting files will cause your entire staff tremendous amounts of stress. The type of stress that results in more sick days than sick people, if know what I mean. Conducting regular internal audits every quarter is a sure way to stay on top of files and detect issues early. Do a full review of all files and documents and update data systems. Afterwards, review the data from your internal audit as a team and create action plans based on the findings.
